Tips and FAQ for Contest Entries

Q. Can we submit work from someone who is no longer employed here?

A. 
Yes. The newspaper chooses the entries and ultimately is the recipient of the award.


Q.
Can we submit a pdf if no tearsheet of the story can be found?

A.
Tearsheets are alway preferable, but print the pdf if you must.


Q.
Our tri-weekly newspaper publishes on Sunday, Wednesday and Friday. Which circulation do we use to figure our class?

A. As a non-daily newspaper, you should use the highest weekday circulation as published in the latest MPA Newspaper Directory.


Q.
I'm confused about whether I can submit one contest entry, or three contest entries.

A. We're talking about two different rules.
The first rule applies only to the number of entries per staff person.
Example: Only one feature story per staff member. The only exception is for Weekly Class D and Sustaining newspapers that may have only one or two writers. They can submit more than one story for each staff member.
 
The second rule applies to the amount of the contest fee.
Up to three stories from one newspaper for the $75 fee. Any more than three would be $5 each.
Example: If you have four writers, each submitting a feature story, the newspaper would pay $5 for the extra entry.

Q. Can we submit a special publication under Special Section, i.e., our Summer Tourist Guide?

A. Best Secial Section, Contest category number 54 under the Advertising Contest is the only category where non-newsprint publications may be considered.

Q. Can we submit a Special Sports Section under Special Sections?

A. Yes. The contest does not disallow the entry of a Special Sports Section.

Q. Can we submit a weekender page or entertainment page under Lifestyle Pages?

A. Yes. Three examples of lifestyle pages or sections make one entry.

Q. If a story appears in a section on a page submitted in the Lifestyle Pages contest, can it still be eligible for the Feature Story contest?

A. Yes.

Q. I have an intern that has been writing a column for the past year. Can those columns be submitted into the contest?

A. It's up to the newspaper to decide what to submit, whether paid staff, interns or stringers, as long as the contributor is not syndicated.

Q.  I've moved out of state. Can I submit contest entries on my own or does it have to come from the newspaper?

A. Hopefully, you've left on good terms with your editor. Since this is a "Newspaper" contest the entries would have to be submitted from the newspaper's contest coordinator. If the entry was a winner, even though your name is on the byline, the prize is awarded to the newspaper.


Coordinating contest entries and need some help?

  • Read submission guidelines for each contest category thoroughly. Each contest offers different restrictions for the number of entries allowed as well as other specifications.

  • If submitting a series of articles, lay out tearsheets and staple in the top left corner before folding and packaging in the 10 x 13 envelope with the label attached to the front.

  • Contest categories that call for more than one article for the entry, i.e. local columns, sports coverage, must be packaged together in one 10 x 13 envelope with the label attached to the front.

  • In the editorial contest, there is a difference between the number of entries allowed for each staff member and the number of entries allowed total in each contest category without incurring a $5 charge for additional entries. Regardless of how many entries are entered by each staff member, any more entries than three (3) in most contest categories must be paid for at $5 each.

  • Photographers may submit up to two photos each in photo contests, but each photo is an entry by itself and must be packaged by itself in a 10 x 13 envelope with the label attached to the front.

  • Special Section (19) – Newspapers may submit up to three (3) entries in this contest category, but each section is one (1) entry and must be packaged separately in a 10 x 13 envelope with the label attached to the front.

  • Do not use paperclips to attach the label.

  • Staff members from group newspapers – if your work appears in more than one newspaper in your group of newspapers from different circulation categories, you must submit entries from the newspaper with the highest circulation only.

  • Before packaging entries for shipment, put the entries in order by contest number, and recheck totals with the submission form.

  • A submission form must accompany the contest entries.

  • Editorial and Advertising entries may be shipped together, however both forms must be filled out and shipped with entries. Entries may also be shipped separately, but a form and payment must accompany each package.
  • Be sure to include an e-mail address on the submission form to receive a confirmation that the package was received.
